Parwood Equestrian Limited · Effective date: 1 November 2026
These terms govern all facility hire and attendance at Parwood Equestrian Centre, including arena and cross-country hire, day hire, camps and clinics. The contract is between Parwood Equestrian Limited (Parwood) and the person or organisation named as customer on the booking (Customer), or a parent/legal guardian where the booking is made for a minor. Rider means any person riding or handling a horse. Accompanying Persons include trainers, coaches, grooms, family, spectators, visitors and other persons attending in connection with the booking. An independent organiser booking facilities for a camp, clinic or day hire is the Customer for that booking. The organiser's arrangements with participants are separate from Parwood's facility-hire contract.
By submitting or confirming a booking, the Customer confirms they have read and accepted these terms, including the rules governing their party, safety, cancellation and charges. Access to and use of any equestrian facility is strictly by advance confirmed booking or Parwood's express prior written authorisation. Access is limited to the facilities and times booked. Reasonable early arrival and departure time is permitted for unloading, preparing, cooling down and loading horses in designated areas, but does not extend riding time or authorise use of other facilities. Parwood may refuse unauthorised access.
All booking changes and cancellation requests must be made by email to bookings@parwood.co.uk. Permitted amendments are subject to availability, written confirmation and a £5 administration charge per amendment. Individual event-slot bookings are non-refundable if cancelled less than 24 hours before the slot begins. Cancellations at least 24 hours before the start are eligible for a refund. Day hire, camp and clinic bookings cannot be amended or transferred; cancellation within 14 calendar days of the start attracts a charge of 50% of the booking value, including cancellations in the final 24 hours. Earlier cancellations are eligible for a full refund of the hire charge. Where Parwood cancels a booking, it may offer an alternative date or facility, which the Customer need not accept; if declined, the hire charge will be refunded. Refunds are processed within 14 calendar days of receipt of the request. Parwood's stated policy is to deduct the Equine Affairs booking fee from all refunds, including Parwood-initiated cancellations, except where this would conflict with applicable statutory rights. Any legally required full refund will be made without an unlawful deduction.
Cross-country hire is unsupervised. Parwood does not routinely inspect ground conditions before individual cross-country hire sessions. Customers are advised not to book excessively far in advance and to check weather forecasts. Before riding, the rider must physically inspect the grounds, obstacles, approaches and landings and decide whether conditions suit the horse, rider and intended activity. A rider who attends and, after physical inspection, considers the ground unsafe or unsuitable may decline to ride and cancel, including within 24 hours of the slot, by emailing bookings@parwood.co.uk before or shortly after the slot commences. Provided the rider has not commenced cross-country riding, the hire charge will be refunded less the Equine Affairs booking fee, subject to statutory rights. Forecast-only cancellations without attendance and physical inspection do not qualify for this special exception.
Facilities and arenas are generally unsupervised. The Customer and Rider must inspect the facilities and equipment before use and stop if they identify an unsafe condition. Hazards, defects and damage must be reported promptly to bookings@parwood.co.uk and/or the designated call point provided. No person should continue using a facility they reasonably consider unsafe. Riders participate in equestrian activities with awareness of inherent risks; this does not exclude Parwood's liability for its negligence or other non-excludable duties.
At booking, the Customer or person booking on the rider's behalf declares that the rider is competent to ride their horse at the intended level and discipline. A properly fitted, securely fastened riding helmet meeting a currently recognised British or international equestrian safety standard must be worn whenever mounted. On cross-country, a suitable body protector meeting a currently recognised BETA Level 3 or equivalent appropriate standard is mandatory; an air jacket does not replace it. The Customer or responsible adult must ensure compliance.
All persons under 18 must be accompanied and supervised by a responsible adult. For individual facility hire, that adult must remain on the premises throughout the visit. For independently organised camps, day hire and clinics, supervision may transfer to the organiser during agreed activities only where the organiser has expressly accepted responsibility; it begins when the minor is formally accepted into their care and ends on collection by an authorised adult. Parents and guardians retain their own applicable legal responsibilities.
Children under the age of 12 are not permitted to use the cross-country course unless participating in an organised Pony Club activity or camp where the organiser has expressly accepted responsibility for their supervision.
Training and coaching are permitted only by persons appropriately trained, competent and insured for the activity. The Customer must check relevant qualifications, experience and insurance documents. Independent organisers must maintain suitable public liability insurance, safeguarding policies, appropriate supervision, and DBS checks for eligible roles where applicable. They must verify and retain relevant documents and ensure staff and participants comply with these terms. Parwood may request evidence and refuse use where reasonable compliance concerns arise. Permission to use facilities does not amount to Parwood endorsing or supervising independent instruction.
The Customer must take reasonable steps to ensure all Accompanying Persons comply with these terms, stay within permitted areas and behave safely. The Customer is contractually responsible, to the extent permitted by law, for reasonable loss, cleaning and damage attributable to themselves, their horses or their party. Parwood may require unsafe, abusive or disruptive persons to leave and may terminate a session for serious breach, without refund where lawful.
All horses must comply with applicable legislation and government guidance on vaccination, identification, health, welfare and transport and must be accompanied by a valid equine passport as legally required. Customers must comply with applicable transport documentation, vehicle and authorisation requirements. Parwood may request documents and refuse a horse where reasonable grounds exist. Horses must remain under effective control and supervision; they must not roam or be tied unattended to horseboxes, trailers, fences or gates. Horses may remain secured in suitable horseboxes or trailers with adequate welfare, ventilation and supervision arrangements.
Horse welfare is paramount. All persons must comply with the Animal Welfare Act 2006 and relevant welfare requirements. Abuse, cruelty, excessive use of whips or spurs, striking, kicking, aggressive punishment, riding an unfit, lame, exhausted or distressed horse, repeated unsafe forcing of obstacles, harmful equipment or denial of necessary water, rest or care are prohibited. Horses must be fit for the intended activity and work must cease if welfare is compromised. Parwood may immediately stop activities, refuse use, require departure, terminate a booking for serious breach where lawful and report suspected cruelty to relevant authorities. Anyone witnessing suspected abuse or serious welfare concerns must alert a member of Parwood staff to raise the alarm, use the designated contact point, or email bookings@parwood.co.uk immediately. Where a horse is in immediate danger, seek emergency veterinary assistance or appropriate authority intervention without delay.
The number of horses using a facility must be safe for its size and circumstances; riders must keep appropriate separation and consideration for others. Lungeing is not permitted in any arena. Movable showjumping equipment may be adjusted or repositioned but must be returned to its original layout and configuration before the booking ends. Failure to reinstate a showjumping course may result in a £250 charge where attendance by a qualified course builder is reasonably required to restore it, reflecting actual reasonable reinstatement costs. Movable cross-country equipment may likewise be adjusted safely and must be returned to its original position. Fixed cross-country obstacles must not be altered or dismantled. Damage must be reported promptly.
All facilities must be left as found, allowing for ordinary wear. All horse droppings must be removed and disposed of in designated places. An arena left unsatisfactorily may attract a £50 cleaning surcharge where reasonable additional cleaning is required. Customers are responsible for reasonable repair or replacement costs for damage caused by themselves, their horses or their party, excluding fair wear and tear, pre-existing damage or damage caused by Parwood's negligence. Charges must be reasonable and proportionate, not penalties.
Dogs are permitted only in designated car parking areas and around the main arena, always on a lead and under effective control when outside vehicles. Dogs are prohibited from all riding arenas, the cross-country course, stable yard and other unauthorised areas. Dogs must not be tied unattended. They may be left in vehicles only for short periods with safe temperatures, adequate ventilation, drinking water and appropriate welfare supervision; never for extended periods. Where dogs are clearly distressed or repeatedly barking, Parwood may require the Customer and dog to leave. All dog waste must be collected and placed in designated bins; dog waste left elsewhere may attract a £50 reasonable cleaning charge payable by the responsible booking Customer. Applicable rights concerning assistance dogs remain unaffected.
Vehicles, horseboxes and trailers must park only in designated or expressly authorised areas and must not obstruct access or emergency routes. Overnight parking, camping or occupation of horseboxes, trailers or motorhomes requires Parwood's prior express authorisation and may incur additional conditions or charges. Facility hire does not automatically include overnight permission. Customers must operate and secure vehicles safely.
All accidents, injuries, horse incidents and near misses must be reported, even if medical or veterinary treatment is not needed. In emergencies call 999 where necessary, notify Parwood via the designated contact point as soon as reasonably practicable and avoid further danger. Other incidents should be reported to bookings@parwood.co.uk promptly, preferably the same day, stating date, time, location and relevant facts. The Customer or responsible adult must ensure reporting and reasonable cooperation with investigation.
Smoking and vaping are prohibited in arenas, stables, yards, buildings and any area containing combustible feed, bedding or materials, except areas expressly designated by Parwood. No person may ride, handle horses, instruct or operate equipment while impaired by alcohol, illegal drugs or other substances. Parwood may stop unsafe activity or require departure.
Personal non-commercial photography and filming are permitted where safe and respectful of privacy, especially that of children. Commercial filming, professional photography or promotional production requires prior written permission. Parwood may restrict filming for safety, privacy or safeguarding. CCTV may operate in designated areas and personal data will be handled in accordance with applicable UK data protection law and Parwood's Privacy Policy.
Parwood may restrict or close facilities for repairs, maintenance, safety, weather, equipment failure or other reasonable operational circumstances. Where a booking cannot be supplied, Parwood may offer an alternative facility or date, but the Customer need not accept. If Parwood cancels, the hire charge will be refunded under clause 3. Where a facility becomes unavailable during a booking, any appropriate refund or remedy will reflect the circumstances and statutory rights.
Nothing in these terms excludes or restricts liability for death or personal injury caused by negligence, fraud, or any other liability that cannot lawfully be excluded. Parwood remains responsible for its own legal duties. Subject to those rights, customers accept the ordinary inherent risks of equestrian activity and remain responsible for their own riding decisions, horses and accompanying party. No term is intended to exclude remedies for services not provided with reasonable care and skill or to impose an unfair consumer charge.
All booking changes, cancellations, complaints and compensation requests should be sent in writing to bookings@parwood.co.uk, with booking reference and relevant details. Parwood aims to provide a substantive complaint response within 14 calendar days and will advise if investigation takes longer. These terms are governed by the law of England and Wales, subject to mandatory consumer protections and applicable court jurisdiction rules.
By confirming this booking, I confirm that I have read and accept Parwood Equestrian Limited’s Terms and Conditions of Facility Hire, Bookings and Attendance; that the rider is competent for the booked activity; and that I will ensure compliance by persons attending in connection with my booking. I understand that facilities are generally unsupervised and must be inspected before use.
